Icon Connect are looking to hire an entrepreneurial and focused procurement professional to contribute positively to our business and grow with the position.

To run and own the procurement process from requisition to delivery ensuring production items arrive on time and at the right price.

To run a centralised procurement function for the acquisition of goods and services for Icon Connect including but not limited to: materials for projects such as cable and electronic equipment, along with utilities and mobile phones and items that support the slick operation of the business.

To have make a positive contribution to the profitability of the company through cost savings. ‘The post holder will work closely with Finance, the Design Department, Project Managers and Engineers to co-ordinate purchases across projects and work with the Warehouse Manager to control the stock in the small warehouse.

Main duties and responsibilities: (not in priority order)

  • To continually improve the purchasing function.
  • To improve the current internal sourcing and procurement processes and to provide recommendations for improvements and to implement agreed new processes.
  • To review and formalise current supplier terms and conditions, including credit limits payment and warranty terms. To ensure all departments are aware of terms where applicable.
  • To obtain pricing for products to support the quotation process and keep a record for comparison at time of purchasing.
  • To manage the procurement of goods and services from suppliers both in the UK and internationally.
  • To work with finance at time of purchase of equipment to ensure the most profitable currency is used to purchase in.
  • To place all orders using the internal Purchase Order (PO) system.
  • To negotiate with suppliers the best prices, terms and conditions and to build strong relationships with them.
  • To support finance with invoice queries in the event purchase orders do not match invoices.
  • To aggregate common purchases across projects to achieve discounts and negotiate call-off facilities with suppliers where appropriate.
  • To reduce the total value of inventory.
  • To ensure that deliveries of items are in accordance with actual project requirements, to maximise credit periods.
  • To attend meetings with suppliers at their premises as required.
  • To keep appropriate records of agreed discount and pricing structures with suppliers along with other relevant terms and conditions.
  • To securely and accurately manage the control of warehouse stock, keeping it to a minimum. To re-use equipment returned from projects or dispose of excess stock as soon as possible by returning it to suppliers where possible for 100% refund or to dispose of it using tools such as eBay.
  • To provide monthly reporting on progress with achieved cost savings and activity.
  • To support the finance function with information for cash flow planning for project purchases.
  • To work with Operations and vendors to ensure the accurate forecasting of goods required is managed and projects are not late due to material shortages.
  • To keep a fully up-to-date stock list.To advise finance of inventory value changes for insurance purposes.

Person Specification:

ESSENTIAL:

To have a minimum of 5 years relevant procurement experience within a small business environment.
Have a thorough understanding of costs from source to destination.
Self-motivated and able to set up a new function and systems without close supervision.
To be an excellent negotiator and communicator able to bring colleagues on board with new ideas and systems.
MS Office – Word, Outlook and in particular excellent level of Excel .
Must be articulate and able to construct well formulated reports.
General Administration experience within a small company.
Must have a full clean driving licence to be able to attend supplier meetings.

DESIRABLE:

A member of the Institute of Procurement and Supply (CIPS).
Previous experience of setting up a procurement function from scratch.
Excel advanced.

We have an exciting opportunity for a Finance Manager to fill an upcoming vacancy.

The role is available immediately and is part of a small accounts team reporting to a director and part time Head of Finance. The successful candidate will be able to offer experience in developing reporting systems both for Management and Operations.

Financial

  • Cash flow management including GBP, Euro and US Dollar accounts and Monaco SARL 
  • Producing the weekly cash flow analysis. 
  • Ensuring cash flow requirements are satisfied and highlighting any potential shortfall in advance. 
  • Produce monthly management accounts as quickly as possible after month end within the constraints of the company calendar. 
  • All Balance Sheet accounts are reconciled and support documentation where required and documented in month-end file.
  • Responsible for timely monthly PAYE and VAT returns (UK and France) and EC sales lists.
  • Setting yearly budgets for the business. 
  • Forecasting annual results and future cash balances.
  • Ensure appropriate depreciation rates are applied.
  • Ensure that projects are being billed as stage payments are due and that final invoice is raised on completion. Ensure that ALL expenses and material costs are invoiced.
  • Assist external accountant to prepare and file statutory accounts in a timely manner in accordance with legal requirements.

Purchase Ledger/Sales Ledger/Payroll

  • Prioritise and make payments to suppliers in accordance with cash availability and immediate business requirements.
  • Ensure Supplier accounts are reconciled on a regular basis.
  • Ensure Aged Debt is regularly reviewed.
  • Ensure Monthly Payroll prepared in a timely manner.

Banking / Cash Management 

  • Daily review and forecast of cash sources and applications
  • Monitor project cash requirements.
  • Identify shortfalls and transfer funds between accounts to cover or stem expenditure
  • Reconcile GBP / Euro Bank Balances
  • Liaise with company bankers (currently NatWest)
  • Explore and utilise other services offered by the bank (eg Trade Credit)
  • Bank administration i.e. DD’s, SO, queries
  • Credit card admin resolving general queries and investigate/release any payments being held by the credit card department i.e. suspected fraud or supplier stating  payment refused.

Other tasks

Monaco Company

  • Oversee preparation of monthly accounts
  • Maintain Icon Connect SARL ledgers on Sage 
  • Cash Management

Miscellaneous

  • Review Insurances and liaise with Broker regarding required information.
  • Review Fixed Asset register to ensure assets are physically identifiable and obsolete assets are removed.
  • Assist Logistics manager with requirements for despatch of goods especially where export documentation is required.
  • Calculate commissions for Sales team General support and information providing
  • As determined by the Directors on an ad-hoc basis

Management Accountant

The role is available immediately and is part of a small accounts team reporting to a director and part time Head of Finance. The successful candidate will be able to offer experience in developing reporting systems both for Management and Operations.

Foreign Currency Management:

  • Manage efficient and accurate (electronic) project expenses system input via PL, Exp’s and timesheets.
  • Monitor company’s exposure to forex market conditions.
  • Advise Estimating of Exchange Rates to be used in Quotations both for short term and long-term work.

In conjunction with Operations

  • Manage efficient and accurate (electronic) project expenses system input via PL, Exp’s and timesheets.
  • Preparing job costing reports and proactively using this information to assist operations.
  • Identify means by which projects can be delivered more efficiently work with Operations team.
  • Assist in identifying projects that can become more profitable.
  • Stock transfers inputting.
  • To produce timely and relevant commercial management information to support the effective management of the business.

In conjunction with Purchasing

  • Create reports to assist in the monitoring of Purchase Orders and chasing of outstanding deliveries.
  • Provide Operations with Project reports of Purchase Orders and their Status.

Qualifications/Experience

  • Qualified / Part Qualified either ICMA or ACCA.
  • Use of SAGE Line 50 desirable but not essential.
  • Well versed in Office 365 especially Excel and Word.

The company is based in Hertfordshire, but this is a London based role to work with the London team and with the opportunity to work overseas on international marine and residential projects.

 

Key technical skills:

  • Fault finding at the highest level in the shortest time.
  • Must be computer literate and fully capable of using MS Office, specifically Word, Excel and MS 365.  Graphics knowledge an advantage.

There will be opportunities to work with the latest technologies, influence design and deliver systems to the highest quality. You will be responsible for consulting on design, configuring network hardware, commissioning, and delivery of a project’s network and telecommunications systems.

It is essential that you are an excellent communicator with good Client facing skills and have strong network engineering experience and excellent knowledge of wireless networks, fibre optics and telecoms systems. The company is based in Hertfordshire, but this is a field-based role that also requires international travel.

 

Key technical skills:

  • CCNA or CCNP Certified.
  • Excellent working knowledge and experience of:
    • Networks and network architecture.
    • Wireless network deployment and management, LAN controller setup and commissioning for wireless networks.
    • Session Initiated Protocol (SIP) and IP Telephone systems.
    • WAN Traffic Management and Path Selector configuration, such as, Kerio, Peplink, Sophos and Cisco.

Main Responsibilities:

The key objective for any of our Project Managers is to bring a project in on time and within budget to the highest quality level. This will be achieved by organising and owning as follows:

Meetings:

  • Kick-off meeting with all team members at project commencement.
  • Regular project meetings / conference calls with the Lead Engineers and the operations department.
  • Site meetings – agree agenda, record minutes appropriately (RFI) agree minutes distributed by others.
  • Twice monthly predictor/resource meetings with the Operations Manager along and Lead Engineer.
  • End of project review meeting Operational Management, Sales, Finance and other stakeholder.

Management:

  • Responsible for cost/time/performance/quality of the project.
  • Ensures compliance to quality standards, and operational guidelines.
  • Create and maintain internal and external project schedules.
  • Coordinates execution and delivery with the engineering team.
  • Be responsible for good team collaboration and knowledge sharing.
  • Motivate and support all team members.
  • Provide progress/status report on a regular basis to the Operations Manager.
  • Manage project decisions / escalations to Operations Manager.
  • Leads regular program reviews with the client.
  • Financial accountability for projects – managing time and costs with the Operations Manager and the finance department.

  • Collating feedback on equipment used in a monthly meeting with engineering and Design.
  • Hardware installation as and when project requires.
  • Organising all logistics for personnel and project deliverables such as equipment.
  • Recording full whereabouts in the online daily planner.

  • Complete the RAMS documentation in conjunction with the Yard or Builder & carry out Monthly reviews.
  • Ensure all staff are fully compliant.

 

Mandatory Management tools:

  • Project Plan (MSP). Start of every project and update as it changes.
  • Request for information sheet. Start of every project to record all questions and prompt responses.
  • “Room notes”. Frequency to be discussed with the Operations Manager to suit.
  • Task List to be completed and distributed daily.
  • Weekly/Fortnightly project status report.
  • All staff schedules filed daily on the planner.

 

Experience / requirements:

  • Proven track record in delivering sizeable residential/marine projects with at least 5+ years project management experience of both single and multi-dwelling AV and automation projects and or yacht projects over 40m.
  • Working knowledge of project management tools such as MS Project and fully proficient with Microsoft Office Suite especially 365 and Excel.
  • Strong knowledge of the industry, its key and niche products.
  • Team player with ability to identify weakness and offer guidance or assistance.
  • Ability to work on own initiative in a well organised and efficient manner.
  • Maintaining exacting standards that the bespoke marine sector demands.
  • An acute understanding of business efficiency and profitability.
  • Excellent communication skills on a technical and personal level.
  • Excellent presentation skills.
  • Understanding of audio visual, mechanical and electrical services, their integration, regulations, protocols, and related technical language including control systems, lighting, HVAC, BMS, access control & security an advantage or knowledge from a similar industry.
